References to ‘Safestay’, ‘hostel’ or ‘hotel’ refer and include to the corporate entity of a specific destination as listed in section 10 of these Terms & Conditions.

By engaging in a confirmed booking for services provided by Safestay, the booker, the individual who is staying or any other person or organisation using these services, agree with the Terms & Conditions as below as part of the contract between yourself and Safestay.

Terms & Conditions of Stay

1. GENERAL

a) We require that you present a valid photo identification upon check in, this can be a passport, national identity card or photo driving license. Student cards are not accepted as valid ID. We accept only physical photo IDs (scans/photos/photocopies are not accepted as proof of ID).

b) Check-out. Departing guests must remove all their belongings from their room and other areas of the property and check out by 11am local time. After this time guests may make use of the luggage storage facilities but all possessions must be removed from the room/dorm and the room key card handed back to reception. Late check-outs will incur a charge of the equivalent amount of the previous night paid for accommodation by the guest.

c) Upon check-in each guest will receive a room key card for access to their room. These key cards are activated for the period of stay only and must be handed back to reception on check out. Failure to return the key card will result in a charge of £5.00 per card (or the equivalent in the local currency of the hostel or hotel). If the hotel operates a key & lock system, a charge of £50.00 (or the equivalent in the local currency of the hostel or hotel) will apply if a ‘normal key’ has been lost.

d) Safestay hostels & hotels is providing accommodation for tourist and back-packers, to allow individual visitors and groups to explore new destinations, cities and meet fellow explorers.

Safestay operates a 10-night maximum stay policy. Bookings will not be accepted for more than 10 continuous nights, regardless if the 10-nights are booked with a single or multiple reservations. The check-out date will be changed without notification to reflect this policy, if a booking is made for more than 10 nights. Stays longer than 10 nights will be at the discretion of Management and must be agreed by e-mail before making a reservation. Verbal confirmations from any Safestay team member will not be made or consequently accepted.

Following a check-out, a return to the same Safestay hostel or a Safestay hostel in the same city or town is not permitted for a minimum of 10-days.

The Management has the right to refuse a check in should a guest make a reservation contrary to this rule. Equally, the Management reserves the right to make exceptions to this rule subject to business levels.

e) Reservations booked in advance do not constitute a legally binding contract until the hostel confirms the reservation with the customer and provides the customer with a booking reference.

f) Subletting or selling a booking to another guest is not permitted unless agreed by the management prior making a reservation and arrival.

g) Free breakfast for guests under 10 years old is applicable if the parents/adults have purchased the breakfast. Group bookings (school trips, sports travel, large group bookings) are excluded from this policy.

2. AGE RESTRICTION & ROOM ALLOCATION

a) Age restriction. Customers under the age of 18 are only permitted to stay in private rooms or shared rooms that are booked for the sole use of one family or a group of persons booked together and must be accompanied by a parent, guardian, teacher or tour-group leader over the age of 18. Any person between the age below 18 years must be accompanied by a parent, guardian, teacher or tour-group leader (over 18) staying in the same room or dormitory.

b) Although we will allocate a bed or room according to the booked category, your reservation does not entitle you to a specific bed, room or location of the bed/room. At Safestay we take great care to allocate beds in a way we think will be best for each booking. There may be occasions when it is not possible to allocate all guests from a booking in the same room. Splitting a booking into different rooms/dorms will not create a reason for a refund or reduction of the price booked. Please contact the relevant hostel reception by email (in writing) with the booking reference and we will be able to inform you if this is the case.

c) Request for specific rooms, dorms, beds, bottom or upper bunk or any other specifics are taken into account. Whilst we try our best, the hostel cannot guarantee any such room or bed allocation. Allocation of beds within the booked category of rooms is at the hostel’s discretion. Not fulfilling such a request does not create a basis for a price reduction or refund.

3. BOOKING METHOD & PAYMENT POLICY

a) Safestay accepts online bookings only. Bookings can be made on www.safestay.com or at authorised associated online travel agents. Online bookings are charged in accordance with payment method chosen.

b) Non-refundable bookings will be charged in full at booking stage or within 48hrs thereafter, but always prior to arrival. By booking a non-refundable rate, you agree to waive the right for a refund or alteration of your booking for any reason. For the avoidance of doubt; no refund will be given and no alteration of your booking will be granted for cancellations for whatever reason. This includes but is not restricted to: no-show due to travel delays, no-show or cancellations due to medical reasons or emergencies or any other reasons which may prevent you from staying or you may regard as preventing you from using the booked accommodation and/or other services. We strongly suggest taking out a travel insurance for such circumstances.

  1. No-Show Policy: Failure to check in at the property by midnight (local time) on the day following the scheduled arrival date will result in the reservation being classified as a “no-show.” In such cases, the booking will be subject to cancellation in accordance with the property’s cancellation policy and no refund will be issued.

c) Whilst we will communicate any issues when charging a card, we reserve the right to cancel the reservation without notice if a credit card is declined or the balance due cannot be charged in full prior arrival at a time chosen by the hostel.

d) We will require for all bookings valid and accepted credit card details when making your reservation in order to guarantee your booking. Your rights to cancel or change your booking are specified by the rate details shown during the booking process.

e) The card provided will be checked prior arrival. Whilst we will communicate any issues when checking a card, we reserve the right to cancel the reservation without notice if a credit card is declined.

  1. For reservations other than non-refundable booking (see 3b), the balance owed will be due in full one day prior arrival, payable by the debit, credit card provided at reservation. At the hostel’s discretion, we reserve the right to charge the card between 10am the day prior arrival and your arrival.

f) If your booking is being paid for with a third-party credit card we will require written authorisation to be provided by the card-holder.

  1. We offer no credit facilities. All bookings must be paid for in full prior check-in.
  2. To check the validity of your credit card and guarantee your booking, we reserve the right to temporarily hold an amount prior to arrival.

g) Please note that we do not accept cash, cheques, Laser cards, solo, diners cards, electron or American Express.

h) If any payment under these terms and conditions is not met, then without prejudice to our other rights and remedies we may cancel your booking; and/or we may suspend the supply and/or deliveries of any other services provided to you by us. We will however, make every reasonable effort to inform you in writing prior to any such action.

4. AMENDMENTS & CANCELLATIONS

a) Unless you booked a non-refundable rate (see T&Cs above), we operate a 24-hours cancellation policy. All notifications to cancellations must be made by 3pm the day prior the booked arrival (local time of the hostel/hotel booked). Failure to cancel by this time will result in a cancellation charge equal to the total of your booked stay (all nights).

b) Unless you booked a non-refundable rate (see T&Cs above), any amendments to your bookings must be made by 3pm the day prior to arrival (local time of booked hostel/hotel). We will try and accommodate your amendments subject to availability.

c) Non-refundable bookings will not be amended or refunded in any case (see above). Such bookings are not transferable.

d) For Promotional offers, individual policy applies as per promotion.

e) Cancellations must be made in writing, either in the form of an email to the hostel/hotel or by online messaging. We do not accept cancellations made by telephone or direct messages via social media channels, including Google, Instagram, Facebook etc.

f) Early departures are not eligible for refund under any circumstances.

g) In the case of a late departure (times as above), Safestay reserves the right to charge for a further night’s stay at the appropriate bed rate.

5. GUEST BEHAVIOUR

a) The comfort of all of our guests is of paramount importance. Any guests who in the opinion of our staff compromise the comfort, safety, or security of other guests (residents or non-residents), our staff or local residents will be requested to leave the hostel premises and will not be issued a refund. Only guests with a valid reservation can enter their allocated dorm.

b) Guests are expected to respect other guests, staff, local residents and property.

c) We reserve the right to charge guests the cost of rectifying damage, caused by the deliberate, negligent or reckless act of the guest to the hostel’s property or structure. Should this damage come to light after the guest has departed, we reserve the right to make a charge to the guest’s credit / debit card, or to send an invoice for the amount to the registered address. We reserve the right to charge guests the cost of replacing any items that are removed from the premises. The charge will be the full replacement amount of the missing item, including any carriage charges.

d) Smoking is not permitted anywhere within the Safestay premises. Any guest found smoking within the building will be charged a minimum fee of £250 / Euro 250 (or equivalent of the local currency) for each time.

e) YOU AGREE TO FOLLOW THE HOUSE RULES OUTLINED BELOW IN ARTICLE 10.

f) Further failure to comply will result in the guest(s) being asked to leave the premises immediately and will not be offered a refund. If you wish to smoke, please ask our reception staff on arrival about designated smoking areas.

6. PERSONAL PROPERTY

a) Guests are asked to use the secure lockers provided in each room, the safety deposit boxes at reception or the luggage store. Padlocks are available to purchase at reception.

b) It is the guest’s responsibility to ensure that their personal belongings are secure at all times. Safestay accepts no liability for the loss, theft or damage to property however sustained or caused.

c) Safestay reserve the right to only store lost and forgotten items for a period of 1 week. After that period, items will be disposed of and Safestay can no longer assist in recovering lost or forgotten items. Safestay takes no responsibility for forgotten or lost items and cannot guarantee that items can be found/recovered. Postage costs, where incurred, are to be paid by the receiver of the items. Safestay takes no responsibility for items that are lost or damaged during postage.

7. YOUR INFORMATION

a) Safestay shall only store and use information you supply to us, or which is supplied to us for the purposes of carrying out our contract with you and to inform you of other services and offers which we may make available from time to time. If you do not wish to receive such information, please notify us and we will update our records.

b) Safestay shall not share a guest’s personal data with any third parties for any reason without the consent of the guest.  Such data will only be collected, processed and held in accordance with Safestay’s rights & obligations arising under the provision’s principles of the data protection act 1998 (UK) and the Directive 2016/679 GDPR (EU).

8. OVERSIGHTS & ERRORS

a) Any oversights or errors in sales literature, on www.safestay.com, third party websites, images, order forms, quotations, price lists, order acknowledgements, despatch notes, invoices or other documents issued by us may be corrected by us without liability. We will advise you of any changes at the time of booking or as soon as is reasonably possible thereafter.

9. DISCRETION

a) All bookings are subject to availability and Safestay reserves the right to decline any booking at its discretion. Booking may be declined or stays terminated in the interest of managing any risks, safety or comfort of other guests, protection of the company’s assets or protection of Safestay staff.

2. Redemption Period

4. Availability Conditions

5. Room Types

8. Additional Terms

# Terms & Conditions for the Safestay hostels & hotels and Lingopie Giveaway

## 1. Introduction

Welcome to the Safestay hostels & hotels and Lingopie Giveaway (the “Giveaway“). By participating in the Giveaway, you agree to comply with these Terms & Conditions. Please read them carefully before entering.

## 2. Eligibility

The Giveaway is open to individuals 18 years of age or older. Safestay hostels & hotels and Lingopie employees, their affiliates, subsidiaries, advertising and promotion agencies, and their immediate family members are not eligible to participate.

## 3. Entry Period

The Giveaway entry period begins on the 1st of July 2024 and ends on the 20th of September 2024 (the “Entry Period”). All entries must be received by 20th September 2024 to be eligible.

## 4. How to Enter

To enter the Raffle, participants must do the following:

  • Follow @safestayhostels on Instagram
  • Follow @lingopie on Instagram
  • Join Safestay hostels & hotels mailing list
  • Comment on the Giveaway announcement post on Safestay hostels Instagram done ✅after all steps have been completed

Only one entry per person is allowed. 

Participants are also automatically added by signing up to our mailing list and exempted from the Social Media tasks.

## 5. Winner Selection

The winner will be selected in random weekly drawings from all eligible entries received during the Entry Period. The drawing will be conducted weekly by Safestay hostels & hotels, whose decisions are final and binding.

## 6. Notification of Winner

The winner will be notified via Instagram stories, Instagram message and email within 24 hours of the drawing. If the winner does not respond within 48 hours of the notification email, an alternate winner will be selected from the remaining eligible entries.

## 7. Prize

The grand prize includes:

## 8. Prize Conditions

Prizes are non-transferable and no substitution will be made except as provided herein at the sponsor’s sole discretion. Safestay hostels & hotels and Lingopie reserve the right to substitute any listed prize for one of equal or greater value if the designated prize should become unavailable for any reason.

By entering the Giveaway, participants agree to the collection and use of their personal information by Safestay hostels & hotels and Lingopie. Safestay hostels & hotels and Lingopie reserve the right to cancel, suspend, and/or modify the Giveaway, or any part of it if any fraud, technical failures, or any other factor beyond Safestay hostels & hotels and Lingopies’ reasonable control impairs the integrity or proper functioning of the Giveaway, as determined by Safestay hostels & hotels and Lingopie in their sole discretion.

Organization of the Contest

Safestay Plc, registered with the London Stock Market under number 08866498, with its registered office at 1a Kingsley Way, London (hereinafter “the Organizer”), together with the company FLIBTRAVEL International S.A, registered with the Luxembourg Trade and Companies Register under number B177392, with its registered office at 4, rue Belair 4514 Differdange (hereinafter the “Co-organiser”), are organising a free-of-charge contest with no purchase required, entitled “Flibco & Safestay Halloween 2025 Giveaway” (hereinafter “the Contest”). The Contest will take place on the official Instagram account of the Organizer: @safestayhostels as well as on the Co-organiser’s account: @Flibco.

Contest Duration

The Contest will start on 21 October 2025 at 12:00 P.M. and will end on 02 November 2025 at 11:59 PM (Central European Time). Any participation submitted outside of this period will be considered invalid.

Eligibility

Participation in the Contest is open to any natural person aged 18 or older, residing in Luxembourg or another European Union member state, holding an active Instagram account, and complying with Instagram’s general terms of use. Employees of the Organizer and of the Co-organiser, their partners, or anyone directly or indirectly involved in the creation, production, or management of the Contest are not eligible to participate.

How to Participate

To participate validly in the Contest, each participant must, during the Contest period:

  1. Follow the Organizer’s official Instagram account @safestayhostels;
  2. Follow the official Instagram account of the Co-organiser: @Flibco
  3. Like the giveaway post;
  4. Tag one friend in the comments.

Any incomplete, incorrect, or fraudulent entry will be considered void.

Winner Selection

At the close of the Contest, the winner will be selected at random, subject to compliance with the participation conditions.

The winner will be mentioned (“tagged”) in the comments of the Contest post on Instagram within one day following the Contest’s closure. The winner will then be contacted via private message on Instagram to provide their full name and email address for prize delivery.

If the winner does not respond within 3 days from the private message, they will automatically forfeit the prize. In this case, another participant, who meets all conditions, will be designated as the replacement winner.

Prize

The winner will receive the following prize:

Liability

This Contest is neither managed nor sponsored by Instagram. Accordingly, Instagram cannot be held responsible for any dispute related to the Contest. Neither the Organiser nor the Co-organiser shall be held liable for any internet connectivity issues, Instagram platform malfunctions, or any technical failures that prevent the proper conduct of the Contest.

Personal Data

The personal data collected in connection with this Contest (namely the Instagram account) are processed by the Organiser and the Co-organiser solely for the purpose of managing the Contest and selecting the winners. Only the winners’ data will be further processed to enable prize delivery (i.e., name, surname, email or postal address). Data will not be retained beyond what is necessary for these purposes and will not be shared with third parties, except as required by law. Participants may delete their comments at any time, and we confirm that these will not be stored elsewhere. Since the Contest is conducted on Instagram, participants are encouraged to review Instagram’s privacy policy for more information on how their data is handled on the platform. Acceptance of the Rules

Participation in the Contest implies full and unconditional acceptance of these rules. Any fraud or attempt at fraud will result in the immediate and permanent exclusion of the participant.

Governing Law and Jurisdiction

These rules are governed by English law. Any dispute relating to their interpretation or application shall fall under the exclusive jurisdiction of the courts of England and Wales.

The portion of the contest organized by the Co-organiser, shall be governed by Luxembourg law. Any dispute relating to the interpretation or application of this part of the competition shall fall under the exclusive jurisdiction of the courts of Luxembourg City.
